Terms of service

1. Who these terms are between

These terms are between [LEGAL ENTITY NAME] ("we", "us") and the person or organization subscribing to KeepPulsing ("you", "the clinic"). By creating an account you accept them.

2. What KeepPulsing is

KeepPulsing is practice management software: a tool for recording and organizing a clinic's own work. It is not a medical device, it does not diagnose, and it does not make or suggest clinical decisions. Clinical judgement remains entirely yours, and nothing in the product substitutes for it.

3. Accounts

An account is personal to one individual and identified by a phone number. Accounts must not be shared between staff — each person who uses the clinic needs their own, so that the record of who did what stays meaningful. You are responsible for what happens under your account, and for keeping your password to yourself.

One account can belong to several clinics. Switching clinic changes which clinic's data you are working in; it does not merge them.

4. Subscriptions and payment

KeepPulsing is sold per clinic, not per user. A subscription covers one clinic and as many staff accounts as that clinic needs.

Prices are set per market and are shown in the currency configured for your clinic. Your subscription is billed from the country configured in the clinic, not from the country you happen to be browsing from. We may change prices with [NOTICE PERIOD] notice; a change never applies to a period you have already paid for.

Payment is [BILLING CYCLE] in advance via [PAYMENT METHODS]. If a payment fails, we will tell you before anything changes.

5. The free trial

The trial gives you the full product for [TRIAL LENGTH]. It requires no card and does not convert into a paid subscription automatically. At the end of a trial the clinic is suspended, not deleted, and export remains available.

6. Your data stays yours

Clinic records belong to the clinic. We claim no ownership over them and no right to use them beyond running the service for you.

You can export patient and billing data in standard formats at any time — including while a clinic is suspended and after a subscription has expired. We will not withhold export to encourage payment.

7. Suspension and ending the subscription

You can stop at any time. We may suspend a clinic for non-payment, or for use that breaks section 8. If we suspend a clinic, export stays available for [GRACE PERIOD], after which data may be deleted in line with our privacy policy.

8. Acceptable use

  • Use KeepPulsing only for a clinic you are entitled to operate, and only for records you are entitled to hold.
  • Do not attempt to reach another clinic's data, probe the service for weaknesses without our written agreement, or work around the limits of your role.
  • Do not use the product to contact people who have not agreed to hear from you. The WhatsApp features open a conversation from your own number — what you send is your responsibility, and your local rules on contacting patients apply.
  • You are responsible for meeting the medical record-keeping, retention and privacy obligations of your own jurisdiction.

9. Availability

We work to keep the service running, but we do not promise uninterrupted availability. The offline-capable core is designed so that a lost connection does not stop clinical work — queued changes replay when the connection returns — but it is not a substitute for a backup of your own. Export regularly.

10. Liability

11. Changes to these terms

If we change these terms materially, we will tell you inside the product before the change takes effect. Continuing to use KeepPulsing after that means you accept the new terms.

12. Governing law

These terms are governed by the laws of [JURISDICTION], and disputes are subject to the courts of [VENUE], without affecting any rights you have under the mandatory law of the country you live in.
